A Mission to Illuminate Margins
Vecta, a leader in industrial service solutions, operates across several complex industries, including petrochemical, utilities, oil & gas, and manufacturing. They offer a range of critical services—such as industrial cleaning, scaffolding, tank cleaning, and hydro excavation—supported by a team of field service agents managed through Fieldpoint, their field management software.
About a year ago, Vecta transitioned from QuickBooks to NetSuite to gain better control over financials and streamline operations. However, gaps in the platform's configuration and integration made it difficult for them to unlock critical insights—specifically, determining the gross margin for individual projects.
“We needed to feed time entries over so we could start assigning costs to jobs for labor time. We were losing margin in the business and we didn’t know exactly where. We were trying to illuminate where the problems were. The goal was to figure out exactly where there was margin leakage,” explained Trey Barnes, CFO of Vecta.
Solving Integration Gaps
Although Vecta was successfully using Fieldpoint for time tracking and NetSuite for financial management, the two systems were not well synchronized. Fieldpoint captured the time spent by field agents, but these labor costs were not flowing properly into NetSuite’s project module, which prevented the accurate calculation of project-level gross margins.
“It wasn’t possible to get to the gross margin level. We could take time entries from Fieldpoint and revenue entries from NetSuite and match the two by project number to derive a revenue answer, but we didn’t have the cost answer,” Trey explained.
Past consulting engagements had attempted to solve the problem but failed to align with Vecta’s goals. Selena Ray, the outgoing CFO, shared her perspective: “It seemed like every direction we turned, people wanted to help but would never get anything across the finish line. It was just a constant loop of conference calls and things not really getting anywhere. Honestly, I had all but given up on the consulting world until we dealt with Sky High.”

Sky High ERP stepped in to resolve the challenges. The team began by carefully assessing Vecta’s current NetSuite setup to uncover the integration gaps and requirements. With a focus on aligning NetSuite with Fieldpoint, Sky High designed the solution to ensure the seamless flow of time-tracking data and labor costs into NetSuite’s financial system.
The result was an integration that provided full visibility into project-level profitability. The Sky High team worked closely with Vecta and Fieldpoint to ensure all parties were aligned and a solution was ultimately developed.
“Consultants in the past brought on a project manager who never truly had an understanding of what we were trying to do. The Sky High team took the time to understand what we were looking for and followed up with us, Fieldpoint, and bridged the communication gap between all of the different parties to bring this to fruition,” said Selena.
Clear Margins and Strategic Insights
With the solution in place, Vecta can now track and report on gross margins for each project accurately. Labor costs, once difficult to pin down, are now seamlessly integrated from Fieldpoint into NetSuite, ensuring that revenue and costs align at the project level.
“Sky High have helped us build out a lot of the saved searches. Now that the design is in place, we can start generating more reports off of that. We want to build reports that are more concise than the canned profitability reports in NetSuite that we can filter by time period or location,” said Trey.
This enhanced reporting capability allows Vecta to act on financial insights more effectively, addressing margin leakage and driving profitability. With accurate margin reporting, Vecta’s leadership team can now make strategic decisions that directly impact their bottom line.
“Strategically, this project was about maximizing gross margin and ultimately EBITDA. When I was brought in I was told ‘this is your mission’” Trey emphasized.
